Getting started

How do I log my first job?

Open the app, tap "Log a Job" on the home screen, and fill in the client, date, start/end time and location. Save it, and it's ready to turn into an invoice whenever you like.

Is Invoice My Job really free?

Yes — log unlimited jobs, create unlimited invoice PDFs, and save up to 3 clients forever, with no credit card required. Pro is £4.99/month (or £39.99/year) and adds AI Scan, Voice Log, unlimited clients, VAT, direct email sending and more.

Invoicing

How do I send an invoice to a client?

Log a job, then tap the invoice button on the job detail screen. You can send it directly to your client by email or SMS as a professional PDF, or share it any way you like if they don't have the app.

What is Receipt mode?

Receipt mode is for tradespeople who get paid on the day (cash, card machine, etc). Instead of "Payment due within 14 days", the document reads "Payment received — thank you." You can switch it on per-invoice, or set it as your default in Settings → Invoice setup → Invoice preferences.

Can I add VAT to my invoices?

Yes — if you're VAT registered, go to Settings → Invoice setup → VAT, switch on "VAT registered" and enter your VAT number. VAT is then calculated automatically on every invoice.

Voice Log & AI Scan

What is Voice Log and how does it work?

Voice Log lets you record yourself describing the work you've done — for example "Six hours yesterday for ABC Ltd, finished at 6pm, plus £40 for materials" — and the app transcribes it and extracts every detail (client, date, hours, extra charges) into a ready-to-save job entry. You review and edit before saving. It's a Pro feature, and recordings are processed in memory only — never stored.

How long can I record for?

Up to 90 seconds per recording. You can describe several jobs in one go — the app will pick out each one as a separate entry, ready for you to review and save together.

What is AI Scan?

AI Scan lets you photograph a week of handwritten timesheets or notes, and our AI (GPT-4o Vision) reads every entry — dates, times, locations and extra charges — ready for you to review and save. It supports a full week of work from a single photo. Photos are processed in memory and never stored on our servers.

Subscription & pricing

How much does Pro cost, and what do I get?

Pro is £4.99/month or £39.99/year (a 33% saving). It includes AI Scan, Voice Log, unlimited saved clients, all-time job history, your logo and colour theme on invoices, VAT support, direct email/SMS sending, CSV export and the accountant pack. New subscribers get a 7-day free trial.

Will I be charged after the free trial?

Only if you don't cancel before it ends. You can cancel anytime during the trial through your phone's app store and you won't be charged a penny.

How do I cancel my subscription?

You can cancel anytime through your phone's app store settings — on iPhone: Settings → Apple ID → Subscriptions; on Android: Google Play → Subscriptions. Your Pro access continues until the end of your current billing period.

Data & privacy

Where is my data stored?

Your jobs, clients and invoices are stored securely on our UK-based servers and synced across your devices. See our Privacy Policy for full details on what we collect and why.

Where are my bank details stored — is it safe?

Your bank details (sort code, account number) are stored only on your own device using secure on-device storage (iOS Keychain or the Android equivalent). They're never sent to or stored on our servers.

Is it safe to log in with just my email?

Yes — Invoice My Job uses passwordless sign-in. We send a 6-digit code to your email that's valid for 5 minutes and can only be used once. There's no password stored anywhere that could be stolen.

Account

How do I delete my account?

You can delete your account and all associated data from within the app: Settings → Account → Delete Account. Prefer not to use the app? See our Delete Account page for an email-based option.
